Organising a sponsored ride

Hows the best way to go about it?

A few of us from our yard are looking to do a sponsored ride and all money raised will be going towards Breast Cancer, the Air Ambulance and Help the Heros

Is there anyone I need to tell that we are doing one? Or is there anything else that needs to be done?

I was thinking about holding it at the local xc course. As its not a fun ride would our insurance cover us?
